Separate guest access from hotel business systems

Guest Wi-Fi should not give visitors a path to front desk computers, office files, payment-related systems, cameras, or network equipment. Hotel staff may also need different access levels: a front desk workstation, a housekeeping device, and a managed network appliance do not necessarily belong on the same network. The right design reflects what each device needs to reach without exposing more than necessary.

With a compatible hospitality gateway and Property Management System (PMS), a guest may be able to sign in using a room number and last name. The gateway checks the stay details through the supported PMS integration and can grant access for the appropriate period. We first confirm the PMS, Wi-Fi controller or gateway, supported interface, and hotel policy. Room number and last name are a convenient guest workflow, not a replacement for network separation or controls on the business side. We plan fallback access for guests if the PMS integration is temporarily unavailable.

Where RADIUS fits

RADIUS can provide centralized authentication and accounting for compatible Wi-Fi platforms. Depending on the architecture, the access point, controller, or gateway can use a RADIUS service to validate access and apply a policy. A PMS-aware guest portal may use a separate integration to verify room details, or the hospitality platform may connect these pieces together. BCS can help evaluate the supported design, configure the RADIUS integration, and test the guest login and expiration flow with the PMS vendor.

Hotel captive portals for guest service and marketing

A hotel captive portal is a branded web page guests see before the Wi-Fi grants full internet access. It gives the property a place to welcome visitors and explain how to connect. It may also display front desk contact information, property amenities, breakfast hours, service notices, or a quick way to request help. With the right platform, the page can offer self-service login by room details, a voucher, or another approved method; show terms and an acceptable-use policy; and apply session or bandwidth limits. It can highlight amenities, restaurant or spa offers, loyalty benefits, and a quick way to reach the front desk. If the hotel wants contact details for its CRM or future promotions, the request and marketing choice should be clear and separate from the basic steps to get online.

Keep the portal easy to use. Marketing fields should be optional and explained clearly, with the hotel’s privacy practices reflected in the experience. The portal should support guest service first, with messages and offers that are relevant to the stay.

Plan coverage and capacity for the property

Strong Wi-Fi takes more than adding access points wherever a signal looks weak. We review room layouts, construction materials, hallways, meeting spaces, lobby and outdoor areas, device counts, cabling routes, switching and PoE capacity, and the internet connection. Wired backhaul to appropriately placed access points is often the foundation for consistent coverage.
