Microsoft Purview Setup and Support in Austin and Houston

Who can share your customer list, payroll files, or confidential proposals?

Business Communication Solutions helps Austin and Houston businesses configure Microsoft Purview to classify sensitive information, reduce risky sharing, manage retention, and support investigations. Start with the data you need to protect and the licenses you already own.

What is Microsoft Purview?

Microsoft Purview is a family of data security, governance, and compliance solutions. For businesses using Microsoft 365, it provides tools to manage how information is classified, shared, retained, and reviewed.

Your sensitive information may include employee records, banking details, contracts, and customer lists. BCS helps connect your business rules with practical Microsoft 365 policies.

Five ways Microsoft Purview helps protect business data

1. Identify sensitive information

Identify sensitive information in supported locations using classification tools and detection rules. Visibility depends on your licenses, connected workloads, and configuration. We begin by mapping where your important data lives and who uses it.

2. Apply sensitivity labels and protection

Labels such as Public, Internal, and Confidential give employees a clear way to classify information. Configured labels can apply encryption, access restrictions, and content markings to supported files and emails. A classification label alone does not necessarily encrypt a file; its protection settings matter.

For example, a payroll label could restrict a supported document to an approved group. BCS helps design labels and test employee and external-recipient access.

3. Warn or block risky sharing with DLP

Data Loss Prevention policies can detect sensitive content and warn users, restrict sharing, or generate alerts according to configured conditions. For example, a policy could detect Social Security numbers in an email sent outside the company.

Cloud DLP coverage differs from Endpoint DLP. Controls for copying information to USB drives or other endpoint activities need appropriate licensing, supported devices, and onboarding. Arbitrary customer lists also need suitable detection rules; a policy will not automatically recognize every business secret.

4. Manage retention and deletion

Retention policies and labels help preserve records for agreed periods and delete content when appropriate. BCS helps translate your approved retention schedule into supported Microsoft 365 settings and test its effect before deployment.

Retention periods should reflect your actual business and legal requirements. Retention planning and backup recovery planning serve different operational needs; review both.

5. Support audits and investigations

Purview Audit records supported user and administrator activities. eDiscovery helps authorized teams search and preserve electronic information for investigations. Available events, retention periods, and investigation tools depend on licensing and configuration.

BCS verifies audit logging rather than assuming it is active. Microsoft states that auditing must be manually enabled for Business Basic, Business Standard, and Business Premium tenants. These records support evidence gathering; they do not prove every action on every system.

Microsoft Purview Audit Standard and Premium

Audit helps answer questions such as: What recorded activity occurred? Which account performed it? When did it happen? Authorized staff can search supported events by user, activity, and date, then export results for review.

  • Audit Standard: Searchable audit events with a default 180-day retention period.
  • Audit Premium: Adds investigation insights, retention policies, and longer retention. Eligible users’ Entra ID, Exchange, SharePoint, and OneDrive audit records are retained for one year by default; other records generally retain the 180-day default unless configured otherwise.
  • Ten-year retention: Requires an additional eligible per-user add-on and the appropriate policy.

Premium rights must be assigned to the users whose activities need those features. Upgrading the administrator alone does not provide Premium audit coverage for everyone. Audit is an evidence source; ongoing monitoring still needs assigned staff and escalation procedures.

BCS helps verify logging, review retention needs, assign appropriate access, and test searches.

Microsoft Purview Communication Compliance

Communication Compliance detects potential policy violations in supported communications, including email, Teams, and Viva Engage. Examples include threatening language, harassment, sensitive-information sharing, or regulated business communications. Coverage depends on the selected channels and policies.

Designated reviewers investigate matches, identify false positives, and take appropriate action. IT can configure the system while HR, legal, or compliance staff own review decisions. Role-based access and pseudonymized usernames help limit exposure of employee information.

BCS helps define scope, configure policies and reviewer access, and pilot detections. Your organization establishes acceptable-use rules and the review process. This solution emphasizes detection and review; DLP supplies configured preventive sharing controls.

Licensing: Microsoft 365 E5 and eligible Purview or Insider Risk Management add-ons provide qualifying rights. Business Premium alone does not include this advanced solution; the Purview Suite for Business Premium is an upgrade route. Confirm rights for scoped users and any additional AI-related requirements.

Microsoft Purview Compliance Manager

Compliance Manager organizes assessments, improvement actions, control ownership, and evidence. It distinguishes Microsoft-managed responsibilities from work your organization must perform. Teams can assign tasks, record implementation and testing, and track progress.

BCS can help connect identified gaps to configuration work, documented procedures, and evidence. Management remains responsible for approving policies and ensuring controls operate.

A high compliance score is not certification or a guarantee. The score measures progress on recommended actions; it does not establish that your organization meets every requirement.

Licensing: Access and assessment availability differ. The Microsoft Data Protection Baseline is included; premium regulation templates may require separate licenses. Eligible agreements can include additional templates. Confirm your tenant’s actual entitlements before selecting a specific standard.

Business Premium vs Microsoft 365 E3 vs E5

Purview licensing overview
PlanPurview capabilitiesWhen to consider it
Microsoft 365 Business PremiumCore sensitivity labeling, message encryption, cloud DLP, basic retention, Audit Standard, and eDiscovery Standard.Small businesses needing foundational data protection.
Microsoft 365 E3Core information protection and compliance capabilities; advanced features require eligible add-ons.Organizations needing an enterprise plan and foundational Purview controls.
Microsoft 365 E5Advanced capabilities such as Endpoint DLP, Teams-message DLP, Insider Risk Management, Audit Premium, and eDiscovery Premium.Organizations with more demanding data security and investigation needs.

Business Premium users can add Microsoft Purview Suite for Business Premium. Eligible E3 users can add Purview Suite or qualifying feature-specific add-ons. Governance outside Microsoft 365 may involve separate consumption charges.

Confirm the full product name. Microsoft 365 E3/E5 and Office 365 E3/E5 are different bundles. Feature rights, prerequisites, and workload coverage must be checked before purchase.

Purview add-ons and feature-specific licensing

Business Premium plus Purview Suite: This add-on requires the Business Premium base license. It provides an advanced route for businesses with up to 300 users, including advanced information protection, DLP, Insider Risk Management, Communication Compliance, Audit Premium, and eDiscovery Premium. You do not have to move every user to E5 to obtain advanced Purview capabilities.

BCS compares the add-on with an enterprise upgrade against your actual requirements. We review policy locations, endpoint needs, investigation workflows, and user counts before recommending a purchase.

Feature checks before deployment:

  • Email and cloud files: Verify cloud DLP and information-protection rights for each covered user.
  • Teams messages: Teams chat and channel-message DLP require advanced rights. Files shared through Teams are stored in SharePoint or OneDrive and follow the applicable file-workload rules.
  • Endpoints: Confirm Endpoint DLP licensing separately from cloud DLP, plus device support and onboarding.
  • Audit and investigations: Match user licenses to the events, retention periods, and Standard or Premium investigation tools required.
  • Assessments: Review Compliance Manager template entitlements separately from access to the tool.

BCS documents these requirements in the proposed configuration so the policy scope and license assignments agree.

Is E5 Information Protection and Governance the same as full E5?

No. Microsoft 365 E5 Information Protection and Governance is a feature-specific add-on. It provides advanced information protection, DLP, and governance capabilities; it does not replace your base Microsoft 365 subscription or include every E5 feature.

  • Microsoft 365 E3: Provides the base enterprise subscription. Add qualifying Purview licenses when advanced features are needed.
  • Microsoft 365 E5 Information Protection and Governance: Adds the information-protection and governance subset to an eligible base license.
  • Microsoft 365 E5 Insider Risk Management: A separate subset covering insider-risk and communication-compliance capabilities.
  • Microsoft 365 E5 eDiscovery and Audit: A separate subset for advanced investigation and auditing capabilities.
  • Microsoft Purview Suite: Bundles the advanced Purview subsets. The enterprise offer requires Microsoft 365 E3, or Office 365 E3 plus Enterprise Mobility + Security E3.
  • Full Microsoft 365 E5: Already includes these Purview subsets, so buying the same add-ons for that user generally duplicates existing rights.

The Information Protection and Governance add-on can also be used with Microsoft 365 Business Premium under eligible terms. Other qualifying combinations exist; verify the precise prerequisites for your agreement.

If a provider lists a “managed license,” review the exact Microsoft SKU and service description. License rights and the provider’s administration or monitoring services are separate parts of the purchase.

Does everyone need an E3 or E5 license?

No. License users for the features they use or benefit from. A business can use a mix of plans, but one administrator’s E5 license does not grant advanced Purview rights to everyone.

For example, selected departments might receive advanced licenses for policies scoped to those users. If a DLP policy inspects every employee’s email, every benefiting user needs an eligible license. Shared sites and organization-wide policies require particular care because benefits may extend beyond a selected group.

Business Basic or Standard users should not be assumed covered by another employee’s Business Premium license. A visible setting in the portal is not proof of licensing entitlement. BCS reviews users, shared locations, policy scope, and feature-specific rights together.

Microsoft Purview and Copilot data protection

Microsoft 365 Copilot honors existing access permissions and supported sensitivity-label protection. If employees already have excessive access to confidential files, Copilot can make that information easier to discover.

BCS can review sharing links, group membership, and sensitive locations before an AI rollout. We then evaluate applicable labels and DLP policies. Purview helps enforce configured protections; it does not automatically correct inappropriate permissions. AI-specific controls require a review of the exact feature and license.

What is Microsoft Priva?

Microsoft Priva focuses on personal-data privacy operations. Privacy Risk Management helps identify privacy risks; Subject Rights Requests helps organize responses when people request access to or deletion of their personal information.

Purview provides broader data security, governance, and compliance capabilities. Priva complements that work with privacy-focused workflows. A company processing significant personal information may evaluate both. Priva has its own licensing and prerequisites; do not assume that an E5 or Purview Suite purchase includes it.
